Moving into a Berlin apartment: the handover explained

Get the keys with less stress: understand the handover, meter readings, house rules and the German phrases that help.

Getting the keys to a new apartment is exciting. It is also the moment when several practical details come together at once: the condition of the rooms, the keys, meter readings, the house rules and the first small questions about your new building.

In German, this moment is usually called the Wohnungsübergabe or simply the Übergabe. You do not need advanced German to handle it well. What helps most is knowing what to look at and having a few clear sentences ready.

This guide is practical language orientation for a typical apartment handover. Rental contracts and individual legal questions can differ, so use qualified advice for disputes about deposits, defects, responsibilities or contractual rights.

1. What is a Wohnungsübergabe?

The Wohnungsübergabe is the handover of the apartment between landlord, property manager and tenant. In practice, you may walk through the rooms together, receive the keys and record details about the apartment.

A useful word is Übergabeprotokoll: a handover record or protocol. It can be used to document what the apartment looks like at the time of handover.

A simple question is:

Füllen wir ein Übergabeprotokoll aus?

Are we filling out a handover protocol?

2. Walk through the apartment slowly

Do not treat the handover as only a key exchange. Look at the apartment room by room.

• visible damage or marks
• fixtures and appliances that belong to the apartment
• anything that was agreed before the handover

3. Zählerstand: write down the meter readings

4. Schlüssel: count what you receive

Ask clearly rather than guessing:

If the handover record includes a key count, check that the number matches what you actually receive.

5. Hausordnung: the building’s everyday rules

The Hausordnung is the set of house rules for a building. It may contain information about shared spaces, waste, cleaning, quiet periods or other everyday routines.

You do not need to memorise everything on day one. Ask where the current version is available:

6. Klingelschild and mailbox name

7. Kaution: know the word, separate the legal question

Kaution means security deposit. You will often hear it when renting an apartment, but the exact amount, payment arrangement and return of a deposit are contractual and legal matters.

Before you leave the appointment, check whether you have:

• received the keys
