Moving into a Berlin apartment: the handover explained

Get the keys with less stress: understand the handover, meter readings, house rules and the German phrases that help.

Getting the keys to a new apartment is exciting. It is also the moment when several practical details come together at once: the condition of the rooms, the keys, meter readings, the house rules and the first small questions about your new building.

In German, this moment is usually called the Wohnungsübergabe or simply the Übergabe. You do not need advanced German to handle it well. What helps most is knowing what to look at and having a few clear sentences ready.

This guide is practical language orientation for a typical apartment handover. Rental contracts and individual legal questions can differ, so use qualified advice for disputes about deposits, defects, responsibilities or contractual rights.

1. What is a Wohnungsübergabe?

The Wohnungsübergabe is the handover of the apartment between landlord, property manager and tenant. In practice, you may walk through the rooms together, receive the keys and record details about the apartment.

A useful word is Übergabeprotokoll: a handover record or protocol. It can be used to document what the apartment looks like at the time of handover.

A simple question is:

Füllen wir ein Übergabeprotokoll aus?

Are we filling out a handover protocol?

Consumer guidance in Germany commonly recommends documenting the condition of the apartment carefully, including photographs. This can help you remember later what was already present when you moved in.

2. Walk through the apartment slowly

Do not treat the handover as only a key exchange. Look at the apartment room by room.

Useful things to notice include:

  • walls, floors and windows
  • doors, locks and handles
  • visible damage or marks
  • fixtures and appliances that belong to the apartment
  • anything that was agreed before the handover

If you see something that should be recorded, you can say:

Können wir das bitte im Übergabeprotokoll festhalten?

Could we record that in the handover protocol, please?

Or:

Das war schon bei der Übergabe so.

It was already like this at the handover.

The goal here is not to argue about legal responsibility. It is simply to make the situation clear and documented.

3. Zählerstand: write down the meter readings

Zählerstand means meter reading. Depending on the apartment and building, there may be different meters for electricity, water, gas or heating.

German consumer guidance recommends reading and photographing relevant meter readings when moving. Keep the information with your moving documents.

Useful questions:

Wo finde ich den Stromzähler?

Where can I find the electricity meter?

Können wir den Zählerstand notieren?

Can we write down the meter reading?

Soll ich davon ein Foto machen?

Should I take a photo of it?

You do not need to understand the technical system during the handover. You mainly need to know which reading belongs to your apartment and where it has been recorded.

4. Schlüssel: count what you receive

Schlüssel means key. At a handover, you may receive more than one type of key: for example the apartment door, building entrance, mailbox, cellar or another shared area.

Ask clearly rather than guessing:

Welche Schlüssel gehören zur Wohnung?

Which keys belong to the apartment?

Wie viele Schlüssel bekomme ich?

How many keys do I receive?

Ist das der Schlüssel für den Briefkasten?

Is this the key for the mailbox?

If the handover record includes a key count, check that the number matches what you actually receive.

5. Hausordnung: the building’s everyday rules

The Hausordnung is the set of house rules for a building. It may contain information about shared spaces, waste, cleaning, quiet periods or other everyday routines.

You do not need to memorise everything on day one. Ask where the current version is available:

Wo finde ich die Hausordnung?

Where can I find the house rules?

Gibt es Regeln für den Innenhof?

Are there rules for the courtyard?

If something is unclear, ask the property manager or landlord rather than relying on what a neighbour remembers.

6. Klingelschild and mailbox name

A Klingelschild is the name label at the doorbell. You may also need a name on the mailbox.

Useful sentences:

How do I get my name on the doorbell label?

Wer ändert das Schild am Briefkasten?

Who changes the label on the mailbox?

This small step matters quickly because letters and deliveries need to find you.

Kaution means security deposit. You will often hear it when renting an apartment, but the exact amount, payment arrangement and return of a deposit are contractual and legal matters.

For the language side, these questions are useful:

Wo steht die Kaution im Mietvertrag?

Where is the deposit stated in the rental contract?

An wen kann ich mich bei einer Frage zur Kaution wenden?

Who can I contact if I have a question about the deposit?

For an individual dispute or interpretation of your rental agreement, use qualified tenant or legal advice.

8. A simple handover checklist

Before you leave the appointment, check whether you have:

  • received the keys
  • recorded important visible details
  • written down relevant meter readings
  • taken useful photos for your own records
  • found out where the house rules are
  • clarified the doorbell and mailbox label
  • saved the contact person for questions

That is enough for a calm first step. Registration at the Bürgeramt and other moving tasks belong to separate guides.
